Import Step 2 - Match Fields

In this step you must tell CiviCRM which existing fields in the database should get the data from the fields in your import file. CiviCRM will examine the first two rows of the import file and present you with options.

You will see several columns of information:

  • Column Headers - If your file contains a row of column headings, and you indicated that in the previous step, they will be listed in the left-most column. If not, you will not see this column.
  • Import Data (row 2) - a list of the data found in your import file's second row.
  • Import Data (row 3) - a list of the data found in your import file's third row.
  • Matching CiviCRM Field - a dropdown list of CiviCRM fields.

Review the values shown in the Import Data column(s) and select the matching CiviCRM database fields from the dropdown lists in the right-hand column. Select - do not import - for any data in the import file that you want ignored.

Custom data fields with "View only?" checked will not import data during import. Uncheck "View only?" before import to allow the import process to populate these fields.

Custom data sets that have "multiple records" enabled will not import and fields within such a custom data set will not display in the Match Fields drop-down boxes on this page.
To check why fields from custom data set are not appearing: For an existing custom data set, go to Administer > Customize > Custom Data, select "more >" for the custom data set and select "Settings". If "Does this Custom Field Set allow multiple records?" is checked then fields in this set will not import.

Saved Field Mappings

You can save your "Import Data" settings for recurring imports. This is called Field Mapping. See Save this field mapping and >>Load Saved Field Mapping below.

If you think you may be importing additional data from the same data source in the future, check Save this field mapping at the bottom of the table before continuing. Provide a name (required) and description for the saved field mapping. The saved mapping can then be easily reused the next time data is imported by using the below described >>Load Saved Field Mapping function.

If one or more field mappings have been saved during prior imports, you will see the option >>Load Saved Field Mapping. Click on the link. The previously saved import field mappings will be shown in a dropdown list. Select the saved import mapping option that matches your data source, and click Load Mapping to load it automatically.

You will have the option at the bottom of the table to Update this field mapping if you have made changes to the selected fields and wish to save it under the same name. If you have made changes and you want to save it as a whole new field mapping, select Save as a new field mapping.

Click Continue>> to proceed. You will be taken to the "Preview" page.

Click <<Previous to return to the first step or Cancel to cancel configuring the import.
