Relationships

Relationships allow you to create and track relationships among contacts.

To assign a Relationship to contacts, your administrator must first create the appropriate Relationship Types.

Relationships can be defined between any type of contact. Examples of Relationship types:

Individual <-> Household

Individual <-> Organization

Individual <-> Individual

Organization <-> Organization

  • Head of Household
  • CEO
  • Father
  • Subsidiary
  • Household Member
  • Employee of
  • Sibling
  • Branch office

Create and Edit Relationships

Search for and open a contact record. You will see the navigation tabs:

Click on the tab labeled Relationships. You will see a list of existing relationships.

You can create a NEW relationship or View Edit, Disable or Delete EXISTING relationships using the links to the right of each relationship.

NEW

To create a New Relationship, click on the >>New Relationship link at the bottom of the list of relationships.

In the New Relationship section, select the Relationship Type.
Use Find Target Contact to locate the target contact(s) for this relationship by entering a complete or partial name and clicking Search.

If no results are found you will see the message:

No matching results for

  • Name like: "search term"
  • Contact type: Organization

Check your spelling, or try fewer letters for the target contact name.

You may also get a message that too many results were found and you will need to provide more information to narrow the search.

If successful, the results of the search will appear on the screen under the heading Mark Target Contact(s) for this Relationship.
If the desired contact is not listed you may modify the search name and click Search again.

Choose the box next to the contact you want. You can create more than one relationship at the same time by checking multiple checkboxes on the search results listing. For example, if Jane Smith has 3 siblings that all exist in the database, search on Smith and then mark the 3 siblings. If successful you will see a message like "3 new relationship records created." Both records will be updated with the new relationship.

If the relationship is permanent you do not need to indicate dates, but if it is a relationship with a start and end date, indicate those dates.

Start Date - The date the relationship will begin.
End Date - The date the relationship will end.

Description - You can choose to include a description of the relationship.
Notes - You can choose to further describe the relationship or add other related notes.

Click Save Relationship to save the relationship.

If successful, you will see the message "1 new relationship record created"

PERMISSIONING (view and update related contacts)

You can enable related contacts to view and update each others' basic contact information by checking one or both of these boxes. This permission gives the logged in user a link from their Contact Dashboard to view and edit the related contact. Contact fields which can be edited are: Name, Primary Phone and Email, and Address.

This permission also allows a logged in user to view or edit the related contact's data in a Profile. In this case you will need to include the related contact's CONTACT ID in the profile URL

EXAMPLE - This link will give a permissioned user access to edit contact 231 using profile 2:

EXISTING

For EXISTING Relationships you can View, Edit, Disable or Delete each relationship using the links to the right of each relationship.

VIEW

Select View to view the details of the relationship - type, target contact and status (enabled/disabled).

When finished, click Done.

EDIT

Select Edit to view the Edit Relationship page. Here you can change the values for the relationship type, start and end dates, description and notes.

Click Save Relationship to save the edits or Cancel to cancel.

If successful, you will see the message:

Relationship record has been updated.

DISABLE

Select Disable to temporarily disable an Existing Relationship. You will see the warning:

"Are you sure you want to disable this relationship?"

Click OK to continue or Cancel to cancel disabling the Relationship.

Disabled relationships will be listed in a separate list below the list of enabled relationships.

To re-enable the Relationship, simply click on Enable.

DELETE

Select Delete to delete the Relationship. You will be given this warning:

Are you sure you want to delete this relationship?

Click OK to continue or Cancel to cancel deleting the Relationship.
