The activities which have been carried out have been summarized below
Magic Bus
Communication Templates
Have been interacting with Magic Bus in the creation of the communication templates. Based on the design options selected by Magic Bus we have created and trained Magic Bus Staff in the following formats
1. Newsletter in html format to be available online
2. Newsletter in pdf format available online for download and printing.
3. Html e-mail with news in brief and links for the complete article pointing to the website.
It has been through several iterations and they are now ready with the 1st version of the newsletter.
Mass Mailing Software
We have developed a mailing software to be used by Magic Bus and other NGO's for mailing of their newsletters. This has been demonstrated at Magic Bus and has the capability to use their existing "MS-Access" database as it is. It is in the process of being implemented and to be used to send out the 1st version of the newsletter that has been created.
Prerana
We met Anagha (Prerana's designated IT person) and Rupal alongwith Neera and Dhruv of Dasra. They are keen on implementing IT solutions in the organization and have taken some steps in that direction. Based on our meeting we have summarized the steps to be taken at Prerana.
Newsletter Mailing
Prerana regularly sends out newsletters to its user base. Based on the implementation at Magic Bus it was decided to provide Prerana with a email specific template and mass mailing software to assist in their current needs and help migration to the CiviCRM system.
We have currently provided a template and the software and are aiding in the process of migration to a newsletter mailing system.
MIS Software
Prerana has implemented a few steps in automating their processes.They have created excel sheets and have started maintaining their records electronically. However this is not effective as retrieval of key information required for reports is not feasible. Hence we suggested to develop a system similar to the one at Magic Bus being developed by Give India. Based on the study conducted last time at Prerana, data that they need to retrieve regularly in most reports will be addressed first ( This will comprise 60% of their current data but provide 80% of their reports) . Also the system is planned to be generic in nature so that Ruchika who have similar needs will benefit from that.
Prerana has another division for their Rescue Victims program that tracks information on each child rescued from a brothel etc. However since the information and reports are currently not defined there , it was decided to include that at a later stage , when they are more in tune with their needs.
Ruchika
MIS Software
Neera would be providing information for Ruchika in Bubhaneshwar similar to those provided by Prerana for integrating their needs into the MIS software. We propose to develop the MIS software in Access for rapid development and deployment.
Dasra
Brochure / Website
Dasra needs to revise and restructure its content and design to cater to the changes that have taken place over the years in the organization. We plan to create the brochure and redesign its website to reflect the same.
